The Board of Governors of Exhibition Place:

1.  Concured with the action taken by the Chair of the Board and the Chief Executive Officer in approving the award of Contract No. 24-075-47523 (RFT No. EP101-2024) to CMS Electrical Group Ltd. for the relocation and upgrade of IT rooms at the Enercare Centre in the amount of $1,384,369.00 which includes a cash allowance of $15,000.00 but excludes HST; this being the lowest acceptable tender submission received following the public tendering of the project.

This report recommends approving a contract with CMS Electrical Group Ltd. ("CMS") for the relocation and upgrade of IT rooms at the Enercare Centre. The tender call was issued on January 3, 2024 through Exhibition Place Purchasing and Materials Stores via the Bonfire Online Procurement System, and the recommendation is to award the contract to the lowest compliant bidder meeting tender requirements and specifications within the available budget.

This project is time sensitive to meet stakeholders and operational requirements, the network equipment is becoming obsolete, the infrastructure is becoming inadequate to support the changing technology requirements, and the scope of work must be completed between events in a live environment while maintaining connectivity to events. The Chair of the Board in consultation with the Chief Executive Officer of Exhibition Place approved this contract award on February 29, 2024, pursuant to the authority under the Board Financial By-law 2-18, Article X and seek concurrence of the Board.
